This notice explains how FileyProperties (the “data controller”) handles the personal information you provide through this application portal, in line with the UK GDPR and the Data Protection Act 2018.
The identity, contact, employment, financial and reference details you enter, and the documents you upload (such as proof of identity, proof of address, right-to-rent and income evidence) for the purpose of assessing your tenancy application.
We process this information to take steps at your request prior to entering a tenancy agreement, and to meet our legal obligations (for example, Right to Rent checks). We do not use it for marketing and we do not sell it.
Access to this portal requires a personal link plus a one-time code sent to your email. Data is transmitted over encrypted connections (TLS) and documents are stored in access-controlled, encrypted storage. Only authorised staff handling your application can view your information.
We retain application data only as long as necessary for the application and any resulting tenancy, and for the period required by law, after which it is securely deleted.
You have the right to access, correct, or request deletion of your personal data, to restrict or object to processing, and to lodge a complaint with the Information Commissioner’s Office (ICO). To exercise these rights, contact your letting agent.
